How much should you expect to invest for live visual notes?

If you are new to visual notes, beware. Most people get sticker shock.

You can expect to invest anywhere from $35K on the high end for the most comprehensive premium package, to as little as $4500 on the low end for the most standard one. (2026 rates)

In every package, you get:

• Prevent strategic call
• Logistics support with dedicated project portal
• Transportation costs (flights, shuttles, Ubers, etc…)
• All materials required
• Tech rehearsal (if remote or live streaming)
• Dedicated artist capturing content live during your event
• Storytelling presentation
• High resolution digital files

OK, still… $35,000 to $4,500 is a big gap. What’s the difference between the packages then?

Many event planners miss out on the full value a graphic recorder can provide because they see them as vendors who “just show up” instead of creative and strategic partners who support different aspects of their event.

That’s not their fault. It’s ours, for not being clear and upfront about it.

Some vendors offer half day and full day rates.
Others may charge per quantity of sessions captured.
Others may charge per board!
We don’t.

The ranges in our packages reflect different levels of involvement and support you require from us. The only exceptions are Individual sessions of less than 2 hours, which are only available for remote or local in-person events.*

Premium packages may include: support in planning, marketing assets, pre-event materials, meeting design, audience mapping and experience design, additional artists, out-of-the-box installations and activations, multiple post-event deliverables, etc.

*A “local” event is defined by the closest artist available. Alejo is based in Atlanta, GA, but we partner with vetted artists in Chicago, IL || Los Angeles, CA || San Diego, CA || London, UK || Paris, France || Amsterdam, Netherlands || Berlin, Germany || Cape Town, South Africa. Every artist is fluent in English, and many are bilingual.
